A brilliant new role has opened up at this award winning company for a Marketing Executive/PA to join them in leafy Richmond. Stopgap are looking for a determined and driven candidate to take on this hybrid role. Is that you?



The Role


We need an enthusiastic, articulate candidate for maternity cover until approximately January 2013 as a Marketing Executive/PA. This position is split equally into 2 roles, providing PA support to our Leader of Vision and Values and assisting the Marketing Manager. You might be an experienced marketing graduate with excellent organisational skills looking to break into the marketing world, or you might be a marketing professional looking to get back into the work environment.


Key Responsibilities


Reporting directly into our Leader of Vision and Values, Claire, and the Marketing Manager, your role will be varied and busy, combining marketing activities with traditional PA duties. Your key responsibilities will include:


Seamless PA Support

·      Keeping an up to the minute catch up list of what Claire needs to be aware of/do – keeping it prioritised

·      Managing incoming and outgoing communications – emails, phone calls, post, colleagues coming up to find her

·      Diary management – forward planning, meeting preparation, maps, juggling to slot things in, room/venue bookings etc.

·      Making judgement calls in Claire’s absence as to whether to share issues with others, action personally or contact Claire out of the office

·      Regularly catching up with Claire to review ‘catch up list’ and correspondence

·      Scheduling catch-ups with Claire’s direct reports and organising lunch meetings and venues

·      Supporting recruitment activity involving client and candidate liaison


On-going Projects and Tasks

·      Organising any travel arrangements Claire requires – booking flights and accommodation for Claire’s three annual trips to our Australia office; booking relevant travel arrangements for meetings

·      Organising and scheduling First Wednesday company meetings, and Quarterly company meetings – and preparing PowerPoint presentations for the company meetings

·      Organising company and client events, parties and away days: client golf events, networking, company Christmas, Summer and Birthday parties

·      Supporting Claire in her networking, PR and other events outside of Stopgap


Social Media Management

·      Day to day management of two Twitter accounts, a LinkedIn discussion group, and the Facebook page

·      Writing content for, and updating, the company blog on a weekly basis

·      Writing and managing website content ensuring it is refreshed regularly

·      Staying informed of marketing news and views in order to contribute to Twitter and LinkedIn discussions

·      Working with the Marketing Manager to plan content and discussion topics around events and marketing campaigns

 Campaign and Communications Management

·      Working with the Marketing Manager to create and agree on content for email communications, including monthly newsletters

·      Working with the Business Insight Manager and Marketing Manager on email targeting and list supply

·      Using Campaign Master (our email broadcast tool) to create and distribute the monthly newsletter and other email communications

·      Managing marketing campaigns (including liaising with agencies and printers, and managing budgets and timings)

Key Skills Required

·      Exceptional writing skills, an excellent eye for detail, a flair for language and the need to get it right

·      A genuine interest in social/digital media

·      Strong administration experience, excellent organisational skills, ability to multi-task, work to tight deadlines, strong time management skills

·      Confident communicator with all levels of management; comfortable and persuasive when required with consultants and external contacts

·      A strong belief in providing a quality service to both Claire and the marketing team

·      The ability to work on your own initiative within the Guiding Principles

·      Lots of energy and initiative are a must, as is a helpful, proactive, positive outlook

·      Must have a flexible attitude towards all types of work (a positive ‘can do’ attitude) and be prepared to work outside of hours if required
